Call for Papers

Authors are invited to submit proposals for presentations to the Symposium in the form of an extended abstract using the online submission tool (up to. 500 words including drawings or photos, no mail or email submissions).

The abstract submission shall include:
  • title of the paper
  • author(s) name(s) and affiliation(s), and address
  • telephone, and e-mail address
  • a clear and precise outline of the novelty of the paper and major points of interest
  • an indication as to whether a paper on the subject has previously been published
  • an indication of presentation preference (oral or poster)
  • confirmation that the intended content can be presented and published in Europe
Abstracts selection will be based on the following criteria:
  • relevance to space mechanisms and tribology
  • topic based on lessons learnt
  • topic based on hardware test results
  • originality/novelty of the innovation presented
  • quality and clarity of abstract

Deadline for Abstracts

Abstracts should be submitted online by 2nd Feb 2015 using the Abstract Submision Tool. Any related questions should be sent by email to the ESA Conference Bureau, at


Authors will be notified of the Organisation Committee’s decision by 13th April 2015. Authors whose papers have been accepted will receive authors guideline for the preparation of a paper for inclusion in the symposium proceedings that will be distributed to all participants at the Symposium. The Proceedings will be normally only be available digitally, a paper copy may be ordered at registration at extra cost.

Registration and Fees


Authors, exhibitors and participants are requested to register for the symposium on-line as early as possible to assist with the co-ordination of the symposium.

Registration at the venue, on arrival, can be made on Tuesday 22nd September at the Euskalduna Jauregia Conference Centre between 17:00 and 19:00 or from 08:30am onwards at the Euskalduna Jauregia Conference Centre on each day of the conference.

Symposium Fees

The registration fee (including cocktail reception and symposium dinner but excluding travel, accommodation and other expenses) is €500 + VAT (21%). Note: The registration fee will be €500 + VAT (21%) for delegates who register on or after 1st July 2015.
This fee covers access to all presentations, poster and exhibition area, proceedings, lunches, coffee breaks, cocktail reception, symposium dinner, buses to and from the industrial visits and if required buses to and from the symposium dinner, which will be held at tbd location.

VAT at 21% is payable by all delegates, irrespective of their nationality. Delegates or their companies registered with the Spanish Customs and Excise for VAT may reclaim the VAT through their normal channels.

The symposium fee does not include accommodation and travel and delegates are responsible for any costs incurred in respect to travel and accommodation.

Block bookings of local hotels have been made in various price categories. Links to hotels are available on the 'About Bilbao' page as well as further information on transport etc. Please note that demand for hotel accommodation in Bilbao is likely to be extremely high in September, and therefore early reservation before July 2015 is highly advisable.

Industrial Visit

The tradition industrial visit on the Friday afternoon after the symposium has finished will be to ITP in Zamudio.

ITP, Zamudio manufactures different components of turbines, casing of titanium and others materials, turbing and pipelines, as well as nozzles, convergent-divergent and vectorial, the only manufacturer in Europe developing this last one, and other high technology accesories. The Engineering Deparment, where new produts Design and Development is carried out, is also located in this center.

The ITP facilities in the Technology Park of Zamudio are placed in a privileged situation only 12 km from Bilbao and 3 Km from the international Airport of Bilbao.

Student Participation

Students of local universities will participate in 16th ESMATS with the development of innovative solutions to typical space problems chosen by ESA & SENER. Selected students will attend the symposium and present their works in the exposition hall.

Partner Programme

There will be local tourist information available during the symposium. A stand of a Government tourist agency will be open starting Tuesday afternoon until Thursday evening in the Symposium registration hall. Basquetour is the public company of the Ministry for Economic Development and Competitiveness of the Basque Government, created in 2006 to head the promotion and implementation of the strategy for competitiveness established for the Basque Country.

Special Event

Guggenheim Museum is quite close to the symposium venue. Therefore prior to the of?cial dinner we shall invite participants for a short visit to the building and its outstanding art collection.


Lunch will be a buffet served in the area next to the Auditorium. Coffee breaks will be held in the poster and exhibition area.


There are a number of hotels within walking distance to the Euskalduna Jauregia Conference Centre. Booking of local hotels may be done via the online form that is provided on this website in order to benefit from reduced rates. Links to hotels are also available on this website as well as further information on transport etc. Early reservations are highly advisable.

Delegates are responsibe for their own accommodation booking and any cancellation fees should these be incurred. SENER cannot be held responsible for any fees associated with accommodation related to attendance at ESMATS.


As with previous ESMATS, ESMATS 2015 will include an exhibition area where companies can display and exhibit their equipment and hardware.

Stands will be allocated on a 'first-come, first-served' basis, although the final floor plan is pending approval of the venue and at the discretion of the conference organisers.

Once all the available space has been allocated and closer to the event, exhibitors will be contacted with details and instructions.

Booking of exhibition space will be via this website. Exhibitors are reminded that they will be requried to register one person for the conference and pay for the exhibition area.

Presenters Guidelines

Recording devices are not permitted during the sessions.

Working Language and Presentation Time

The working language of the symposium will be English. For each paper presented orally, 15 minutes are allocated followed by 5 minutes for discussion.

Posters will be displayed during the whole symposium in the exhibition area.

Oral or poster presentations may be accompanied by the demonstration of novel mechanisms and products.

Technical Recommendations for Oral Presentations

  • The working language of the symposium will be English.
  • Presenters shall allocate the indicated time (please check the preliminary programme to be posted by end April) per presentation - including time for questions - and are asked to follow their allocated presentation time including time for questions and discussions.
  • Please bring your presentation in PPT (Microsoft Office 2010) or PDF format on a USB stick
  • Presenters are kindly requested to arrive in the meeting room at least 10 minutes prior to the start of the session
  • The presentations should contain clear information with appropriate font size that is legible from the back of the conference room.
  • Hand-outs of your presentation will not be provided to the participants.
  • A PC will be available for the presentations. For performing the presentation, MS-Powerpoint or Adobe PDF Reader under Windows 7 will be used.

Technical Recommendations for Poster Presentations

  • Presenters at the poster sessions shall bring their own printed posters. It is not possible to print a poster on site.
  • Authors are strongly encouraged to produce a proper poster rather than using multiple sheets of A4 paper.
  • The display area of the poster panels is 97 cm wide x 147 cm high.
  • Poster numbers (according to the conference programme) will be noted on the wall panels.
  • Presenters shall be available at the poster session near their poster for the duration of the session in order to answer to the conference participants questions
  • Posters will be displayed for the duration of the conference.

The 2015 16th ESMATS is being organised by SENER and will be held at the Euskalduna Jauregia Conference Centre, Bilbao, Spain between the 23th and 25th September 2015. SENER, one of Europe's most successful space mechanisms companies, are based in Bilbao and have been prominent supporters of ESMATS since its inception in 1983.
